A customer approval message is easier to act on when it points to one exact visual. Save the approved spelling, orientation, and preview image together, then attach that view to the internal work order.
Use a version label or timestamp so a later conversation cannot silently replace the approved view. If the blank, artwork, or requested placement changes, return the revised proof to the customer before treating it as production-ready.
