A proof should make the customer's next action unmistakable. Add one field that asks for approval, a requested change, or cancellation before any further workshop decision. Keep that response attached to the exact artwork version the customer saw.
Separate visible design approval from production readiness. A customer can approve spelling and placement while the shop still needs to confirm the blank, process, and safe operating plan. This distinction reduces the chance that a design reply is mistaken for permission to skip internal checks.
Archive the final response with the order record and keep earlier versions intact. Browse /updates/ for more small-shop workflow ideas.
