A spelling lock is a saved line of customer-approved text that production does not silently edit. It protects names, dates, capitalization, and punctuation from casual changes during file preparation.
Save the approved line exactly
Copy the approved wording into the job record and attach the approval image or message. Give the record a revision label. If a correction arrives later, preserve the earlier version and create a new one with a new timestamp.
Separate the locked customer text from workshop notes such as font choice, placement, or test status. This makes it clear which decisions belong to the customer and which still require internal review.
Check once at handoff
Before production release, compare the artwork with the locked line character by character. Record who performed the check. This small step is especially useful when several similar orders are open at once.
