An inscription that is too long creates a wording decision, not just a layout problem. A small shop can avoid a preventable dispute by getting explicit approval before shortening a name, title or message.

Offer concrete alternatives

Show the original wording alongside one or two proposed alternatives. Highlight every abbreviation and removed word. For example, replacing a full job title with initials may save space while also changing what the gift means to its recipient. Leave the decision with the customer.

Make the selection traceable

Record the selected wording in the order record with its proof revision. Do not use an earlier chat message as the production text when the final approval changed it. If no option has been selected, keep the order waiting for wording approval rather than treating silence as acceptance.

Once the wording is settled, check the exported design against that record. Line breaks and letterforms still need their own review.
