Collect the exact customer text in a separate field before choosing a font, border, or icon. This keeps the approval question focused and reduces the chance that a decoration discussion hides a spelling correction.
Send back a readable reference
Share a plain-text confirmation beside the layout reference and ask the customer to check both. Once the wording is confirmed, keep it attached to the project record rather than retyping it from memory. That gives a small shop one clear source when it prepares the next step.
See /updates/ for more practical notes on keeping a custom workflow reviewable.
