Ten pieces do not always mean ten designs. An order with one shared inscription needs a different approval record from an order with ten individual names, even when the requested piece count is identical.
Use two totals at intake
Record the number of physical pieces and the number of distinct artwork versions. Give each version a short identifier and a quantity. For example, version A might be requested three times while version B is requested twice. The sum of the version quantities must agree with the order total.
Keep sample pieces and display pieces outside the customer quantity unless the order explicitly includes them. A prototype made for review should not silently become one of the deliverables.
Approve the mapping as well as the text
Present the customer with the version identifier, the exact inscription and the associated quantity. This catches a problem that a spelling proof alone cannot: a correct name assigned to the wrong number of gifts.
