A display example helps customers imagine a personalized gift, but its sample name should never become an accidental instruction for a live order. Label example artwork before it reaches the same folder as customer files.
Separate the example from the order
Place a visible example-only note on the proof sheet and use a filename that identifies its purpose. Keep the note outside the actual engraving artwork. The production file must still be reviewed independently; a label on a thumbnail does not automatically change the contents of an exported file.
When a customer selects the example's style, copy the design into a new order record and replace every variable field. Review the main name, secondary message and any date separately. A useful checklist asks for the intended text in each location rather than simply asking whether the design looks right.
Approve the customer's version
Show the customer the updated proof with its order reference. Retain the style example as context, and save the approved personalized version as the operative record. This approach is useful when preparing AntBelt G1 projects, but it does not establish material suitability or a production rate. Those questions require their own current guidance and evidence.
