A supplier's material description and your observation of one sample answer different questions. Keep both in the record without treating either as a substitute for the other.
Preserve the source wording
Record the description supplied with the blank, its source reference, and any identifying code. Put that information in a field labeled supplier description. Do not silently simplify a coated or composite item into a familiar material name.
In a separate field, record what you actually observed during an authorized evaluation. A visible color or texture is not a reliable way to establish composition. If identification remains uncertain, keep the uncertainty visible and do not proceed with laser testing on that basis.
Attribute each statement
When sharing a sample record, make clear which details came from the supplier and which came from your own documented review. If the two appear inconsistent, flag the discrepancy and seek clarification rather than choosing the more convenient description.
