A customer proof is easier to approve when it answers one specific question: spelling, placement, or the selected artwork version. Put that question in plain language above the image instead of asking for a general approval that can mean several things.

Separate approval from production notes

Keep internal reminders such as packaging sequence or sample observations outside the customer proof. The proof should show the relevant artwork and the requested decision. If a detail remains uncertain, label it as an open question rather than assuming the customer has accepted it.

Save the response with the version

Store the approved reply next to the exact artwork version and order reference. This creates a simple handoff record if another person needs to review the job later. A compact desktop workflow benefits from clear information before any sample is considered.
