An order photo is only useful when the next person can connect it to the correct artwork, blank, and approval. A short filename rule can prevent a folder of nearly identical images from becoming guesswork.

Use the same four-part name

Combine the order reference, artwork version, photo stage, and date. For example, a team might use order-reference_art-v2_before_date and order-reference_art-v2_after_date. Avoid putting customer names or other unnecessary personal information in shared filenames.

Capture a before photo with the unmarked blank and a visible job reference. Capture the after photo from a similar angle, then add a close view only when it helps document placement or legibility. The photos record what was visible; they do not establish universal durability or material performance.

Make the handoff part of closing the order

Before packaging, confirm that the approved artwork version matches the filenames and that the final photo is stored in the order folder. If anything differs, stop and resolve the record before the item leaves the work area.
