A custom-order quote is clearer when it includes one defined proof round. The customer knows when spelling, layout, and placement become locked, while the seller has a visible boundary for later changes.
Define what the proof covers
State that the proof confirms the exact text, artwork orientation, approximate placement, and selected blank. Ask for one written approval tied to a revision number. A new name, logo, or blank after approval should trigger a revised scope rather than a silent production change.
Keep the material-test decision separate from the visual proof. A customer approval does not establish material compatibility or safe operating conditions. Those checks remain part of the shop's controlled workflow.
Make the handoff easy to audit
Place the approved proof, order reference, and result photo in one folder. If a remake is needed, the team can see whether the issue came from the order data, artwork, setup, or sample review.
