A personalized gift order can contain two different spellings when the checkout note and a later message disagree. Treat that conflict as an unresolved decision before preparing the engraving file.
Make the disagreement visible
Create one order record with the order reference, the conflicting entries and where each entry came from. Do not choose the newest-looking spelling from memory. Present the alternatives in a single proof and request confirmation of the exact text, capitalization and punctuation that should appear.
Once the customer answers, record the approved text and proof version together. Mark earlier instructions as superseded while retaining them in the private order history. Avoid placing personal contact information on a public sample or photograph.
Reopen only what changed
If a later correction arrives, pause that order and issue a replacement proof. Identify whether the correction changes only the text or also affects layout and spacing. Keep unresolved orders out of the ready-to-process queue. This procedure helps clarify approval responsibility; it does not promise a delivery time or guarantee that an engraving job will succeed.
