Put the final words in one visible place

Personalized work often changes in a short message thread: a surname gains a letter, a date changes, or punctuation disappears. Before preparing a layout, copy the approved spelling into the order record beside the customer-facing proof.

That record should identify the artwork version and the date of approval. It does not need to be elaborate. One clearly labeled line prevents a later revision from being mistaken for the final request.

Treat a correction as a new approval

When a buyer changes text after a proof, save the replacement as a new decision. Keep the earlier proof for context and mark the later version as the one to use. This preserves a clean handoff from inquiry to layout review.
