A suggested message is not an instruction to engrave it. If a customer asks for help with wording, label your proposed inscription as a suggestion until they select and approve it.
Keep the two text sources visible
Record the customer's original request in one field and your proposed wording in another. If you shorten a message to suit a design, explain what changed instead of presenting the shortened version as a faithful copy.
Avoid bundling several alternatives into the final artwork file. Give each option a clear label, then build the approval proof from the selected option only.
Ask for an explicit selection
An answer such as “that looks nice” may refer to the decoration rather than the wording. Return the selected message in plain text beside the proof and ask the customer to confirm that exact inscription.
When a customer edits your suggestion, replace the approval proof and retain the earlier version as superseded. Do not combine fragments from different replies.
