A customer's gift note is not necessarily the text they want engraved. Give those two requests separate fields before turning an order into artwork.

Ask for a destination, not just a message

Label one field engraving text and another gift enclosure note. Add a small example showing that the enclosure note belongs on accompanying stationery, while the engraving text becomes part of the approved design.

When a customer pastes the same paragraph into both fields, ask for clarification. Do not shorten the engraving text yourself or move words between fields without approval. Preserve capitalization, punctuation, and the customer's intended spelling in the proof.

Carry the distinction into packing

Give the production reviewer only the approved artwork reference and the relevant order identifier. Give the packing reviewer the enclosure note and the same identifier. Both should refer to the same order without treating the note as a second artwork revision.
