Custom orders become harder to manage when names, layouts, and quantities can change at every stage. Choose a clear freeze point: the moment after the customer approves the proof and before production preparation begins. State which fields can no longer change after approval.
Keep the approved proof, order reference, and approval time together. If the customer requests a later change, treat it as a new revision instead of silently replacing the earlier record. This helps a small team see which version is actually ready for the next step.
