A canceled personalization request can leave behind an approved file, a printed label and an object waiting on a bench. Give the job a clear written state so those leftovers are not mistaken for permission to continue.
Identify the exact scope
Record whether the customer canceled the whole order, one object or only one proposed inscription. Use the order reference and the affected item reference. A note that says only cancel this is difficult to interpret once it is separated from its original conversation.
Mark the relevant production record as canceled and retain the decision date. Keep the artwork as a historical record if your normal retention policy allows it, but make its inactive status visible wherever an operator would retrieve it. Remove the item from the active work queue through the shop's normal process.
Treat a restart as a fresh instruction
If the customer returns, verify the current wording, quantity and selected proof before restoring the job to the queue. The old file may be useful, but it cannot resolve new changes on its own.
