Make the reply easy to answer

A useful approval message names one decision: spelling, layout direction, or the version of the artwork. Put the preview directly beside that question. A reply such as “approved” becomes more useful when the decision it approves is visible.

Avoid combining a correction request, an upsell, and a production update in the same message. Separate questions create a cleaner order record and reduce the chance that a small change is mistaken for a full sign-off.

Preserve the exact approved version

Save the sent preview and the reply together, with a version label that matches the artwork file. The latest /updates/ entries offer more small-workflow prompts for keeping a review trail clear.
